SalesNOW is an extremely customizable application so that you can design the system to work the way you work and not the other way around. The areas that we will discuss in this section are:
Changing standard fields
Adding new custom fields
Each document within the SalesNOW system comes with a number of standard fields. As the SalesNOW Administrator, you can change the following:
Field Name change the name on any field
Field Type certain standard fields, such as Contact Salutation,Company Industry, Deal/Lead Source and Deal Probability, can be changed from text or numeric fields to list fields.
Lists the list drop-down options can be modified
To customize standard fields follow these steps:
Click Setup | Customize
Select the record type for which you would like to modify the standard fields, such as Companies for example, and select manage standard fields
Select the field that you would like to edit, such as Industry
Click edit to modify field label or field type:
Custom Label enter the new field label
Field Type for fields that can be changed to lists, click change next to field type
To save changes click save and close
To edit a list (where the field type is a List):
To add a new list item enter the new list item in the box and click add new
To change list order highlight the list item and click the up or down arrow
To delete a list item highlight the list item and click the X at the right of the list entry
One of the most powerful features within SalesNOW is the ability to add custom fields. These fields can be added to any of the forms contacts, companies, leads/deals, emails or activities. They are displayed within SalesNOW on the Web immediately following the General Information section of the record for easy access and editing purposes. They are also displayed within SalesNOW on the BlackBerry in their own tab.
There are six different custom field types that can be added:
Text this field allows the user to enter an unlimited amount of alpha-numeric text
List this field allows the user to select one item from a specified list
Date this field allows the user to enter a specific date
Number this field allows the user to enter an integer
Multi-Select List field allows the user to select one or multiple items from a specified list
Multi-Select Numeric List field allows the user to select one or multiple items from a specified list and enter a number that corresponds with any list item. For example, a new "Products" multi-select numeric list could include Widget A, Widget B, etc. and you could enter 3 for Widget A, and 4 for Widget B. (Note: Multi-Select Numeric fields can be linked with the "Estimated Units" or "Estimated Value" standard fields within the Lead/Deal record. So, for example, if I linked this new Multi-Select Numeric field to the "Estimated Units" field, the "Estimated Units" field would automatically display "7" - which is the total number of widgets entered (3 +4). To link a multi-select numeric field to the "Estimated Units" field, simply customize the "Estimated Units" field and modify the "Link With" option to "Products".)
To add or modify custom fields follow these steps:
Click Setup | Customize
Select the record type for which you would like to add or modify a custom fields, such as Deals for example, and select manage custom fields
To add a new custom field, click new and enter the field information:
Label enter the new label that will appear for the user
Description enter a description for the field
Field Type select the field type: text, list, date, number or multi-select list
Default Value for all field types, except multi-select list, you may specify a default value for the field
To save changes click save and close
To edit a list (where the field type is a List):
To add a new list item enter the new list item in the box and click add new
To change list order highlight the list item and click the up or down arrow
To delete a list item highlight the list item and click the X at the right of the list entry
To modify the order in which the custom fields are displayed highlight the custom field and click the up or down arrow
To delete a custom field, select the custom field and click delete
Note: Once saved, new or modified custom fields will immediately appear within all team users SalesNOW Web Accounts and will appear within each team user's SalesNOW BlackBerry Account when they synchronize their web changes.
